Grain Sampling:-

Sampling procedure is devised to take samples from bags on random basis with devices to gain maximum representative samples. Sample men are hired on temporary basis and provided sessions for proper training to arrive at best possible maize quality results for subsequent quality analysis.

Complaint cell: -

One complaint office is arranged near main gate outside with identification for driver/supplier queries comprising security / warehouse representatives. Safety instructions shall be displayed by the complaint office for safety of drivers and other instructions to maintain sequence for offloading and to avoid any unrest in drivers. All the objections by the drivers and suppliers will be properly addressed before entering or leaving the mill premises.

 

·        Initial Sampling by Sample man of the vehicles carrying maize standing outside the gate , sealing, inserting tags into sample and handing over to the security Guard with following input:-

o   Sampling Type: Initial

o   Permit No.

o   Vehicle No.

o   Token No.

o   Sample man

o   Vehicle Representative

o   Purchase Order Number

o   Outward Gate Pass

o   Inspection Report

 

·        Initial sample collection by the security person and conveys samples to QC Lab.

·        QC Lab maintain log book sequence wise of each sample.

·        As the initial analyses is completed, Moisture, broken etc.

·        Sample is declared as:-

o   Approved

o   Rejected

o   Hold

 

·        Rejected consignment is returned back from outside without permitting entry into mil premises. Detail of rejected vehicle is maintained in security logbook only as rejected.

·        Held consignment is forwarded for further approval like direct grind (in case of low inventory), re-sampling. (Sometime suppliers do not agree with initial sample results and insist for resampling)

·        Approved vehicles are directed for gate entry as per token sequence.

·        Security staff update log book while taking all security formalities.

·        Vehicle is sent for first weighment.

·        Vehicle is directed to the offloading site by the security staff.

·        Warehouse supervisor maintain the sequence of tag number and nominate the stack.

·        Labor start offloading in the presence of sample man/counter man who check each bag for counting and randomly perform sampling for final maize sample.

·        If he founds any bag heated/wetted or damaged, the bags are put aside for separate storage or rejection as per QC decision.

·        Sample man/counter man fills proforma prepared by warehouse department bag by bag.

·        Upon the completion vehicle unloading proforma is signed by the sample man and warehouse supervisor.

·        Filled proforma is given to the driver and directed to Weighbridge for second weighment.

·        At the end driver reports to warehouse office for final GRS (Goods Received Sheet) along with weighbridge slip.

·        GRS is stamped of acknowledgement and one copy is handed over to driver for gate exit.

·        One copy of GRS / MRN is forwarded to finance for payment, one copy is kept in records.

 

·        Re-sampling

o   Will be carried out in case of the rejection when supplier is not satisfied as informed to the complaint Cell.

o   Supplier will have to take this vehicle out from Godown and re-enter with new permit and go through the whole process again in case of rejection or partial rejection of bags.
